Camp Information

Hours of Operation: 

The Camp hours are 9:00 am - 2:00 pm. Please do not drop off your child prior to the start time of camp, as there will not be staff available to supervise.

Pick-up and Drop-Off Procedures: 

Parents/guardians must park their vehicle and walk their child into the Camp and sign them in. The check-in and pick-up area for all camp days will be at the large pavilion at the following locations. See your registered event for where your camp week is located. 

 

What to Bring

  • Lunch & Snack

  • Refillable Water bottle

  • Shoes appropriate for walking with a heel strap - NO FLIP FLOPS OR SLIDES

  • Bug Spray applied

  • Optional: change of clothes (just remember we will be outside, so don't send anything that is valuable or can't get dirty)

What to Expect

  • Go on hikes, fishing, and bug catching to make discoveries in the forest

  • Work in teams for solving quests - animal ID, tracking, foraging

  • Use real tools like knives and flint and steel to light fires

  • Get creative with world-building and role play

Medical Needs/Allergies: 

Dragonfly Field Labs LLC Staff are not permitted to administer medication to program participants. In the event of a medical emergency, staff will administer first aid, CPR, and rescue in the best interest of the child. All staff are Pediatric First Aid/CPR/AED certified. Parents will be contacted if care is administered. Allergy medications may be administered if directed in writing by the child’s parent/guardian. 

Special Circumstances: 

Parents and guardians are required to inform the Dragonfly Field Labs LLC in writing of any special circumstances which may affect the child’s ability to participate fully and within the guidelines of acceptable behavior, including, but not limited to, any serious behavioral problems or special circumstances regarding psychological, medical, or physical conditions. 

 

Dress Code: 

Children should dress appropriately for the activities scheduled. Jax Dragonfly Field Labs recommends shorts and a light weight shirt or top, and some type of athletic shoe or sandal that can be secured to the foot in order to participate in recreational or athletic activities. Jax Dragonfly Field Labs recommends an umbrella or jacket for rainy days, as we will still be outside. Sandals, flip-flops, rubber “crocs”-style shoes, and other open-toed shoes are not recommended as acceptable attire for active recreation activities. Students with these shoes may not be able to participate in all activities. (These are fine to be packed in a bag as a change of shoes if needed). 

Mosquitoes, Poison Ivy, and Being Outdoors:

This camp is 100% outdoors, rain or shine. Your child will need to be dressed appropriately for heat, poison ivy, and mosquito protection. Please note that these are outdoor adventure programs, and sometimes things such as bug bites occur despite our best efforts. If any of these things are a concern for your family, please give Lizzy a call at (904)345-0435 and we can discuss options for prevention and protection. We don't want any of these things to prevent your child from being safe and having fun! 

 

Here are some tips to help make sure your child is prepared to stay safe and have fun. 

  • Mosquito/ Biting Insect Prevention

    • Biting Insects (mosquitoes, yellow flies, gnats, etc.)  are common in our wet and wild spaces. Reducing risk of bites is important for safety as well as comfort.

    • Wearing light colored clothing reduces your ‘visibility’ to mosquitoes - black attracts.

    • Liberally apply bug spray at arrival to camp on both skin and clothes. Spray onto skin, then rub in like sunscreen to ensure full coverage. Sprays with and without DEET are equally effective using this method.

    • Spray bugspray into your hand, then wipe onto ears, forehead, and back of neck.

    • Avoid heavily perfumed body washes, sprays, and detergents as they make you easier to ‘smell’ by insects.
       

  • Poisonous/Thorny Plants & Ticks

    • We may occasionally be in off trail or high brush areas. Wearing closed toed sneakers with ankle high socks and long pants can prevent most accidents with plants or ticks. Example

  • Dehydration/Heat Sickness

    • At Dragonfly we avoid being in direct sunlight as much as possible during the summer. It is often 5-10 degrees cooler under the forest canopy, so we go there!

    • Please make sure your child is able to easily drink from their water bottle. I often find myself being asked to open and close water bottles multiple times a day, so if you're not sure, check before you send it. If they struggle to open it, they probably won't drink enough during the day.

    • We will provide water refills and electrolyte drinks during the day, as well as frequent water reminders!


Sunscreen/Insect Repellent: 

Please apply sunscreen and insect repellent prior to the start of each camp session. Children may bring sunscreen and insect repellent but must be able to reapply with staff supervision. Spray or mist sunscreen and/or insect repellent are recommended. Sunscreen and/or insect repellent must be labeled with the child's name.

 

Personal Belongings: 

Please put the child’s name on all articles of clothing, snack bags, bags, etc. Children should not bring toys, mobile phones, electronic devices, jewelry, money, or any possession of value with them to any of the programs. Children will be responsible for their belongings. 

 

Risk & Safety

All Dragonfly Field Labs LLC sessions are led by experienced outdoor guides. We take safety seriously, and strive to create an environment where children are able to take calculated risks. By signing up for these outdoor programs, you understand that there is an inherent risk involved, including minor cuts and scrapes, insect bites, and weather. You also understand that Dragonfly Field Labs LLC and its staff are not liable for any injury sustained by students, and that students who choose not to follow safety protocol may be injured.

`Behavior Management/Discipline Policy: 

Participants are expected to honor the Dragonfly Field Labs Code of Conduct. We reserve the right to dismiss a participant whose behavior is out of line with this Code of Conduct in a way that puts themselves or others at risk. No refund will be issued for dismissals.

 

Jax Dragonfly Field Labs staff will create a fun and safe environment for participants in the program. Praise and positive reinforcement are used as effective methods of behavior management. Children who do not respond to these methods or who are destructive to others or to property will be dealt with in a professional, positive, and timely manner to correct the behavior. The following procedures will be followed for behavior management. All incident reports will be discussed privately with parents/guardians and a copy of each report will be kept on file. 

 

1. In the event a child’s behavior is a repeated behavior and cannot be corrected by the Jax Dragonfly Field Labs Staff with a verbal warning or other form of behavior modification, a first incident report will be written to document and correct behavior. A copy of the report will be given to the parent/guardian the same day as the incident. 

 

2. A second incident report will be written if the behavior is repeated or new behavior problems occur with the same child. This report will follow the same process as the first, but a one or two-day suspension could accompany this report, and no refund will be provided for suspended days. A copy of the report will be given to the parent/guardian the same day as the second incident. 

 

3. A third incident report will be completed using the same process as the first two. The Jax Dragonfly Field Labs staff will write this report. Staff will provide this report to the parent/guardian. Incident reports will be discussed privately with a parent/guardian by a Jax Dragonfly Field Labs staff and Director. Dismissal from a program can occur at this time. NOTE: Immediate dismissal from the program can occur at any time given severe circumstances. Refunds for missed days due to a discipline dismissal will not be granted. 

 

Cancellations

Jax Dragonfly Field Labs designs and implements programs based on enrollment. We invest in program planning, site licenses, equipment and other costs before the program begins. These expenses cannot be recovered in the event of a cancellation. When considering a cancellation, please be aware and respectful of our policies and commitment to facilitating quality programs.

 

Weather: Programs run rain or shine. We don’t provide refunds for days missed due to weather. All participants should come to programs with weather-appropriate clothing and related gear. In the event that extreme weather jeopardizes the health and safety of participants and staff, the Dragonfly Field Labs may choose to cancel or reschedule the session.

Extreme weather is defined as: high wind, freeze, tornado/hurricane, severe storm and excessive heat warnings; AND/OR two or more of the following: winds above 20mph, sustained rains (over 70% coverage), temps below 50F.

 

Park access: Jax Dragonfly Field Labs operates in public parks. In very rare circumstances where access to the park has been restricted without notice, programs may be canceled if an alternative location can not be secured. Credits will be issued.

 

Low enrollment: Jax Dragonfly Field Labs reserves the right to cancel a program due to low enrollment.  A full refund will be issued.

 

Circumstances beyond our control: The Dragonfly Field Labs will determine whether a refund is warranted.

 

Other refunds and credits: You may request a full refund, minus a $25 cancellation fee prior to 30 days before the program start date. Refund requests from 30 to 15 days in advance will receive a 50% refund. There will be no refunds less than 15 days in advance of the start date of the program.

All cancellations must be requested in writing by emailing info@jaxdragonfly.org.

We reserve the right to cancel a program or change a program’s duration, price or location. You will be notified via email of any changes to programs you are registered for.
